ERM set to launch in Oct. 2012

Delayed from its initial April 2012 date, the Employer Reporting and Maintenance (ERM) application will launch Oct. 2012.

ERM timeline:

Summer 2012: A soft open period of 60-90 days will allow employers to practice enrolling members, submitting wages and contributions, etc. This is a test environment; information entered during the soft open will be erased at go-live.
 
October 1, 2012: Authorized Agents or their designees will log in to the ERM application to perform data setup and verification.

Late October 2012: Employers will begin submitting wages and contributions and performing other member and employer maintenance tasks via ERM.

Better – faster – less paperwork! Changes to the TRF retirement process

Effective for members who are retiring at the end of the current school year or later, INPRS will no longer require the completion of the Application for Retirement Benefits, Part 2. Please complete any Part 2 request you may have already received. Regular submitted wage and contribution reports will be used to determine the final average salary for retirees.

INPRS still requires that employers complete the Certification of the Last Day in Pay Status in order to process any benefits for our members. Please note that INPRS may request additional information related to reported wages in possible settlement, severance, etc. If you have any questions, please contact our office at (888) 526-1687.

Take advantage of the delay

Employers have expressed needing more time to train on the ERM application. Make sure you and your staff receive the needed training before ERM launches.

ERM training materials are available on the Employer Forum Web site at er.inprs.in.gov. To access these materials, locate the ‘Training Resources’ header on the left side of the page and then click on the ‘User Manuals,’ ‘Quick Reference Guides,’ 'Computer-Based Training,' ‘Workshops’ and ‘Webinars’ links.

Additional webinars and workshops are being scheduled and will be posted to the Employer Forum Web site when details become available. Users who have already participated in a workshop or webinar are welcome to attend an additional training session(s) as a refresher before go-live.

While you’re at the site, make sure to register for the Employer Forum. Here, employers can post questions and comments about the ERM application. INPRS staff will monitor the forum and respond to questions. Click on ‘Employer Forum’ and then ‘Register.’

Computer-based training … available on your schedule

Though a variety of ERM training materials are available – user manuals, quick reference guides, webinars, and workshops – INPRS is encouraging all employers to take the computer-based training (CBT).

Users access CBTs at their workstations and on their own schedules. The CBTs visibly and audibly explain ERM functions with screenshots highlighting each step of the task. CBTs provide an ERM overview, as well as cover the Employer Management, Member Management, and Wage and Contribution Management sections of the ERM application. During each CBT, you will have a chance to practice some of the functions within ERM.

Assessments follow instruction to ensure comprehension. Employers should take at least one CBT before registering for a webinar or in-class workshop. System requirements are available here. To register and participate in a CBT, visit http://www.inprsclassroom.org/.

Go-live is approaching … are you prepared?

To ensure you are ready for ERM go-live, make sure you have taken care of these important items.

  • Forms: Make sure someone from your organization has sent in the form. Some employers were also required to submit the Authorized Agent Designated to Perform Necessary Duties form.
  • Training: Visit er.inprs.in.gov to learn more about training.
  • Bulk Files: If you plan to use bulk upload files to submit information to INPRS, you should ensure these files pass structural testing and will be accepted by the ERM application. Testing will specifically focus on the file structure, not the data included in the file. Please e-mail your employer name and number to erm@inprs.in.gov for more information on how to initiate this testing process.
  • Minimum Requirements: Ensure your computers meet the minimum system requirements for ERM. More information is available here.

Have questions about ERM?

To help transition to ERM, take advantage of the multiple resources available to employers who have questions or just want to learn more about the ERM application. 

At er.inprs.in.gov, employers can view training materials, information presentations about ERM, past ERM-related newsletter content, and file layouts. In addition, a forum is available where employers can post questions related to ERM. INPRS monitors this forum and will respond to your question or comment. A special e-mail address, erm@inprs.in.gov, has been created specifically for employers with questions about ERM.
