ERM is approaching; don’t miss out on training!

ERM training materials are now available on the Employer Forum Web site at er.inprs.in.gov. To access these materials, click on the ‘User Manuals,’ ‘Quick Reference Guides,’ 'Computer-Based Training,' ‘Workshops’ and ‘Webinars’ links under the main ‘Training Resources’ header on the left side of the page.

While you’re at the site, make sure to register for the Employer Forum. Here, employers can post questions and comments about the ERM application. INPRS staff will monitor the forum and respond to questions. Click on ‘Employer Forum’ and then ‘Register.’

Forms must be returned to set up employer accounts for go-live

INPRS previously contacted all employers to verify each employer’s Authorized Agent/Superintendent. Additionally, all employers received a mailing from INPRS, which included form(s) necessary to set up employer accounts in the new Employer Reporting and Maintenance (ERM) application. INPRS requires this information and has sent additional communication to all employers failing to return the required form(s).

To assist employers in completing this information, examples of how various employers should complete these forms are available in the File Templates section of er.inprs.in.gov. A list of Frequently Asked Questions (FAQs) can be found in the FAQs section of the same Web site.

Clarification to ERM file layouts

INPRS would like employers to be aware of the following minor clarifications to the Member Maintenance and Wage and Contribution file layout specifications sent to all employers in Summer 2011.

Member Maintenance File Layout Specification:

  • Field 12: Part-Time/Sub Effective Date - The specification incorrectly indicated that the effective date is only required when changing a member to a part-time/sub. This should actually be populated any time field 11 (Part-Time/Sub) is populated.

Wage and Contribution File Layout Specification:

  • Field 21: Severance Mandatory Post-Tax Contributions - The specification incorrectly indicated that these contributions are employer-paid. The file should have indicated that these contributions are employee-paid.

Please note that the above will not change the field/file layouts, simply the logic inside the effected fields. Please share this information with your payroll vendor or other appropriate staff.

Minimum requirements aid in overall experience

Employer Reporting and Maintenance (ERM) is coming. To ensure optimal viewing and use of the ERM application, make sure your systems meet these minimum requirements.

Internet Browsers:

  • Internet Explorer 7, 8, 9 (Windows Certified)
  • Mozilla Firefox 3.0, 3.5+ (Windows, Mac OS, Solaris Certified)
    Display:
  • 65,535 colors, set to at least 1024 x 768

Memory:

  • 2GB of RAM

Letters to mail to approximately 20,000 inactive members

Beginning February 21, 2012, INPRS will begin sending notification to non-vested members who have been inactive (no service or contributions reported) for 10 or more years.

Members receiving letters should initiate a distribution of their Annuity Savings Account (ASA) balances. Instructions on how to receive a distribution are included in the letter. If a member does not initiate a distribution, his or her ASA balance will be credited to the applicable fund (PERF or TRF).

Please note: members who move from a PERF-covered position to a non-covered position, within the same employer and with no break in service, are entitled to continue receiving interest for up to 45 years.
