If you are an employer, it is important to know about a new online filing requirement for those who have had more than 25 employees this year.

If you will be issuing more than 25 wage statements (W-2s) in 2011, you must now file both the WH-3 (Annual Withholding Reconciliation Form) and W-2s electronically with the state (effective July 1, 2010). That means when you file these documents and information in February 2011, you must file them electronically.

To better assist you in completing this process before the end of the year, the Department has established a website to specifically help you quickly and easily register and certify to file your WH-3 and W-2s in 2011. You can visit the website at www.in.gov/dor/4455.htm

The website helps determine what you need to do next, depending on how many W2s you report each calendar year. For example, if you are an employer, the website offers information and instructions for employers who will issue:

  • 1 to 50 W-2s,
  • 51 to 2,000 W-2s, and
  • More than 2,001 W-2s.

The deadline for you to register to file electronically, and to be certified for bulk upload of your wage statements (if applicable to you), is Dec. 31, 2010. You have to get all the registration and certification steps out of the way by then so you’ll be set up with the state to file your WH-3 at the end of February 2011.
