Can we file electronically?

Yes. You can file electronically using INtax, Indiana Department of Revenue’s online program that allows you to load your W-2s and automatically creates WH-3s.

What kind of electronic media do you accept?

The Department accepts DVDs, diskettes, CDs or 3480/3490 cartridges.

Can I send in paper copies?

Electronic files are preferred; however, paper copies will be accepted when it is necessary.

What is your limit for electronic media?

We do not set a limit on electronic media. We do prefer DVDs, diskettes or CDs, for ease of use.

Why do I have to file 1099Rs when you participate in the combined Federal/State program?

Not all companies participate in the program. Moreover, the IRS does not send the state the county income and tax that was withheld.

Who should I file a 1099R for?

File a 1099R for any individual that had Indiana state taxes withheld. County taxes are not withheld as many recipients live out of state. If county taxes are owed it is the responsibility of the taxpayer to pay them.

Do Riverboats have to file?

Riverboats have to file W-2Gs for individuals that they have withheld taxes from.

Do we now have to use the Indiana Department of Revenue’s Web site to make our payments?

You may make your payments the same as you did last year. It could be through EFT, INtax or by check.

If our IT department is not ready in January with the file formatting, can we pay through our bank and file the WH-1 on paper?

Yes. You should pay the same way you paid last year. The return may be filed through INtax, Bulk Upload or on paper.

When filing the W2G or the 1099R, what information is needed for the K record?

The only records we need for the W2G and 1099R are the T, A, B and F.

Will INtax accept a WH3 file with the county code missing or if the county code is alpha (first three letters of the county name)?

The load will not fail because of the county code, but it will not allow you to submit the return unless you fix them manually within INtax.

The specs for the WH3/W2 filing changed this year. The Department now requires the RV record, which is a state total record. Will the file be rejected if we fail to include the RV record?

Even though the book says it is required this year, the Department is not rejecting a file due to the absence of the RV record. Next year, however, the file will fail if it is not included.

Can we make our payment the same as before and use the INtax Web site to enter the WH-1?

Yes. The return and payment must be made, but they do not have to be made together.

The RV Record wants a “Total of RS Record” in position 5-17. What is this total of: state tax, county tax, wages, etc.?

This is the total number of RS records. Each RS record is a W2. It is the total number of W2s for the last RE record (employer).

When filing the W2G or the 1099R, what information is needed for the K record?

No, 1099Ms may be filed through Bulk Upload or on paper. These are currently the only channels that is accepting 1099Ms.
